Outsourcing medical billing: how it is priced and what to watch for
Outsourcing can free up your team, but only if you pick the right partner. Here is what to ask.
How billing companies usually charge
- A percentage of collections. The fee moves with what you collect.
- A flat monthly fee. Easy to plan, and it should match the scope of work.
- A fee per claim or per hour. Common for specific tasks such as follow-up.
Prices vary by specialty, volume and scope, so ask for the model in writing and check what is included.
Questions to ask before you sign
- Will you sign a Business Associate Agreement before seeing patient information?
- Who does the work, and how are they trained and screened?
- What do I receive each week, and can I see the same numbers myself?
- Do I keep access to my data, payer portals and claims if I leave?
- Is there a pilot period, and how do we measure it?
- What is the notice period if I want to stop?
Red flags
- Promises of guaranteed collections or a fixed increase in revenue.
- No written agreement or no Business Associate Agreement.
- Reports that are vague or only shared on request.
- Long lock-in contracts with no pilot.
- The company controls your payer portals or bank account in a way you cannot undo.
How we approach it
We start with a discovery call and a baseline audit, agree a written scope and run a 30-day pilot you can review before deciding. We never promise guaranteed collections. Read how we work or our billing services for small practices.
Arovia RCM does not guarantee collection outcomes. Please do not send patient information through the website or by email before agreements are signed.
