AR follow-up services for independent medical practices
Unpaid insurance claims do not chase themselves. Our team works your accounts receivable every week, claim by claim, until each one is paid or properly appealed.
What is AR follow-up in medical billing?
Accounts receivable (AR) follow-up is the work of tracking claims that have been sent to an insurer but not yet paid. Someone has to check the claim status, find out what the payer needs, fix any problem and push the claim forward. When that work slips, claims age, payers' filing deadlines pass and money that was earned is never collected.
For a small practice, the front desk and the biller often do this between other tasks. We take it on as our full-time job.
Signs your AR needs attention
- Claims are sitting at 60, 90 or 120 days with no clear next step.
- Your days in AR keep rising, even though visit volume has not changed.
- Staff only have time to chase the newest claims, so older ones are forgotten.
- Insurers keep saying the claim is “in process” and nobody records what was actually said.
- You do not have a simple weekly report that shows what was worked and what is still open.
What we do on every unpaid claim
- Check the status in the payer portal, or by phone when the portal does not give a clear answer.
- Find the reason the claim is unpaid: missing information, a denial, a pending review or a payer error.
- Fix and resubmit corrected claims, or send the documents the payer asked for.
- Escalate to a payer supervisor or file an appeal when the first answer is not acceptable.
- Record every call with the date, the answer and the next action, so nothing depends on memory.
We start with the largest and oldest balances, because that is where delay costs you the most.
What you receive every week
One page, in plain language. It shows four numbers we track for every client: days in AR, clean claim rate, denial rate and collection rate. It also lists what was worked, what is waiting on the payer and what needs a decision from you. You always know where your claims stand.
Who this is for
Independent practices of any specialty, small group practices and small billing companies that need extra hands on follow-up. If your team is stretched, or you have an old backlog of unpaid claims, this is the best place to start. See how we work to understand the steps from the first call to a 30-day pilot.
Frequently asked questions
What does AR follow-up mean in medical billing?
It is the work of checking on claims that were sent to insurers but not paid yet, finding out why, and doing what is needed to get them paid or appealed. It covers phone calls, portal checks, corrected claims, documents and appeals.
Do you guarantee collections?
No. We never promise a specific collection amount, because payers, documentation and timing affect every claim. We promise the work, the tracking and a clear weekly report.
How do you start?
We begin with a discovery call, then a baseline audit of your unpaid claims by age, payer and denial reason. After a written scope is agreed, we run a 30-day pilot and review the results with you.
Can you work in our billing software?
Yes. Once the agreements are signed, we work in your existing practice management system and the payer portals you already use, with access limited to what each person needs.
Is our patient information safe?
A signed Business Associate Agreement, NDA and service agreement come before any patient information is shared. Our team uses company systems only, with role-based access and HIPAA training.
How is the service priced?
The fee model is agreed in writing before work starts. We explain the options on the first call, so there are no surprises.
Arovia RCM does not guarantee collection outcomes. Please do not send patient information through the website or by email before agreements are signed.
