Guide
An AR follow-up checklist for small practices
Accounts receivable work is easier when it follows a routine. Use this checklist as a starting point.
Every day
- Review claims rejected by the clearinghouse and fix them the same day.
- Post new payments and note any that were lower than expected.
- Work the oldest and highest-value unpaid claims first.
- Record every payer call: date, name, answer and next step.
Every week
- Review the aging report and look at claims that moved into an older bucket.
- Follow up on claims with no payer response after the normal processing time.
- Check denials, correct what can be corrected and note the appeal deadline for the rest.
- Send patient statements and follow up on patient balances.
- Write down the four numbers: days in AR, clean claim rate, denial rate and collection rate.
Every month
- Group denials by reason and payer, and pick the top three to fix at the source.
- Compare payments with contracted rates to catch underpayments.
- Review old balances and decide which are worth more effort and which should be adjusted.
- Check that providers' enrollment and licences are current.
When it gets too much
If your team cannot keep up, an outside team can take over follow-up while you keep control of decisions. Read about our AR follow-up service, or use our guide to the aging report to see where your money is stuck.
Arovia RCM does not guarantee collection outcomes. Please do not send patient information through the website or by email before agreements are signed.
